Rules

Competition organizer is obliged by Competizer Terms of Service to provide Rules of the competition. Also having competition rules is actually the best way to ensure compliance with the law. 

How to create and implement Rules to the competition?

  1. Create custom page with Rules. Make it visible. Make it visible in main menu or add it to footer menu. Read detailed instruction about creating custom pages.
  2. Add checkbox to the sign up form (activate new field in Setup&Edit > Options > User data capture), that requires agreement with your Rules. Provide link to Rules page in Field label or in Instruction for user using this sample HTML, but provide valid address of Rules page:

  3. Provide handy tips:
    • General rules on home page. Go to Setup&edit > Main > Titles, header, description & footer > Competition description, activate Text and write Description
    • Entry requirements and recommendations. Go to Setup&edit > Stages > Submission round and edit  Upload instructions
    • Purpose of gathering user data in sign up form. Go to Setup&edit > Options > User data capture  and add instructions for user.
    • Shortly describe voting method in gallery, for instance: "Vote for your 3 favourite entries" or "Vote everyday for your favorites". Go to Setup&edit > Stages > Voting Round  and edit Gallery title
    • Describe current status of the competition. Go to Setup&edit > Stages and edit Status for each stage.

Competition rules: good practices and examples

Here we've  compiled a basic set of rules which you're can use for your competition, but it's not legal advice as the law in your country/state may vary considerably.

Who can participate

You may specify age, location and exlude affiliates.

Example

Entrants must be 18 years old or older—except for individuals affiliated with the [Organizer], including employees, emeriti, Regents, trustees, interns, volunteers, fellows. Organizer will determine winners’ eligibility in its sole discretion.

Tip: If you want to make users confirm their origin, age, etc. add additional questions or checkboxes to sign up form.

Contest timeline

In admin area you should set up date and time of start and end for: submission and voting (popular or jury). Also winners announcement could be set to specified date and time. Go to Summary of the competition to check all of those dates related with Stages.

How to enter competition

Enter online

Explain that participant has to sign up or sign in and then fill the Entry Form. It's recommended that you exercise participation by your own and then explain it to your users.

Example

No Purchase Necessary. Participation requires Internet access.

Go to [http:///www....] and click on Enter Competition. Sign up or sign in using Facebook account or regular form. During sign up or sign in for the first time you must certify that you have read and agree to these Rules and [Privacy Policy]. Fill out online Entry Form and submit.

Note: You can prepare Rules page together with Privacy Policy or make it on separate pages.

Example

Entry Form requires: full name, age, phone number, address, e-mail address and agreement to the rules.

Entry requirements

Specify categories, write bit more than just their names. Are there any restrictions? For example in photo competition are there any location or time-depending restrictions? Do participants have to provide allowances from photographed people?
In photo competitions only JPG are allowed. You can specify max file size in admin area in Setup&edit > Main tab.
In text competitions organizer can limit lenght of entry by specifying number of charaters.

Example

Photographs must be in a JPEG or JPG format. Files submitted may not be larger than 3Mb.

Cropped photos are eligible in all categories. We do not accept digitally or otherwise enhanced or altered photos, except for those entered in the Imagination category. Minor adjustments, including spotting, dodging and burning, sharpening, contrast and slight color adjustment or the digital equivalents, are acceptable for all categories. If the judges determine that a photographer has altered his or her photo, they reserve the right to disqualify it.

For a photo in which a person is recognizable, you must secure a model release from the subject or, in the case of a minor, the subject’s parent or guardian and provide it to the [Organizer] upon request.

Entry  must be tasteful. Language will be evaluated by [Organizer] based on context and societal acceptability. Content must be intended for a family audience and must, in the sole and unfettered discretion of the [organizer], be suitable for a general audience and must not contain any nudity, sexually explicit, disparaging, libelous or other inappropriate content.

Entry must not contain any trademarks, copyrighted works or other intellectual property (other than as owned by the Entrant). Any elements appearing in an Entry Piece, must be the Entrant's own original work, created solely by the Entrant. Use of anything that is not the Entrant's own original work, may result in disqualification.

[Organizer] reserves the right to reject any Entry that it deems, in its sole discretion, to violate any of these content related requirements.

How the winner is chosen

Specify how many winners and runner-ups will be choosen for each category.

Specify how they are going to be choosen (there are many options of choosing winner on competizer platform).
Present jury if applies, describe their qualifications and provide clear guidelines about winning criteria.
Specify voting mechanism for popular voting (including limitations) if applies. Especially using popular voting reserve the right to disqualify cheating attempts.

Example

Visitors to the website www.... will vote for applicants using the VOTE button. More votes can be attracted by sharing or “liking” the entry on Facebook and other social media.

Winners will be contacted via email names displayed on our website.
The Judges decision is final and no correspondance will be entered in to.

How are you going to notify winners?

Example

The local winner will be notified by e-mail on [Sept 10th]. The winners will be announced [Sept 16th] on the competition website. Organizer  reserves the right to disqualify the winner in the event that he/she doesn’t respond to e-mail notification within 48 hours.

Prizes

Describe prizes, give the approximate retail value of each prize, the number of prizes awarded. 
Additionally prizes can be presented on separate page.
How are you going to deliver the prize? Who is going to pay taxes?

Example

Prizes can only be sent to a valid address provided on sign up. 

Winners must sign a release and license and will be responsible for paying any taxes they may owe on a prize.

Publicity consent

Example

By entering the contest, entrants grant the [Organizer] a royalty-free, worldwide, perpetual, non-exclusive license to display, distribute, reproduce and create derivative works of the entries, in whole or in part, in any media now existing or subsequently developed, for any promotional, publicity, exhibition, archival, educational and all other standard purposes. Any photograph reproduced will include a photographer credit as feasible. The [Organizer] will not be required to pay any additional consideration or seek any additional approval in connection with such uses.

Winners may be requested to take part in promotional activity. [Organizer] reserves the right to publish the names of the winner(s) and their entries, as well as other relevant information.
