Privacy Policy page

You should inform users about your privacy policy on Rules page or on separate page (read more about creating custom pages).

Privacy policy must state clearly how Competition Organizer gathers and uses participants data such as name, address, date of birth, contact information, intentions to acquire newsletters or other goods or services etc. It should inform whether those data is kept confidential or public, if it is shared with partners, or sold to other firms or enterprises. It should contain a statement of the organizator's commitment to data security; and what steps the organizator takes to ensure data quality and access. The policy should disclose the consequences, if any, of an individual's refusal to provide information. The policy should also inform how to contact the organizator.

The exact contents of a privacy policy depends on the applicable law appropriate for competition organizer country.

Entries

Each entry in a competition has its own page with permanent address. Entry page exists until the competition is closed. Until then, participant may remove entries and change title, descriptions, tags. However winner and runner-up entries are available until the competition is deleted. Participant can't remove nor change them (after winners approval).

Profile page

Each participant after sign up has own profile page with permanent address. This page exists until the competition is deleted. On this page participant entries are displayed until they are deleted or until the competition is closed. However winner and runner-up entries will be published even longer, until the competition is deleted.

On profile page are displayed all entries from all existing competitions until the competition is closed or deleted. Also winners and runner-ups from other competitions are displayed even after competition closure, until the competition is deleted.

Participant data

Competition organizer may require some personal user data on sign up or before upload. 

Specify purpose of gathering of personal user data. Specify what, who and how is going to use it. For instance you may require phone number and/or email to contact with winner. In other case you may want to publish user real name while announcing winners. You may also gather subscriptions or even mail address to contact with all other participants and send them offers etc. 

Data Security

Competizer platform undertake procedures to assure data quality including reliable collection methods, reasonable and appropriate participants access and correction, and protections against accidental or unauthorized alteration.

Choice/Consent

To take part in the competition user has to sign up by setting at least unique nickname and providing password.
Sign up may be also required to place comments.
Competition organizer decides which other data is required on sign up or before uploading. All other data is optional. 

It's possible to gather participants agreements via checkboxes; organizer decides if it is opt-in or opt-out. Such an agreement is necessary to send any mailing from competizer platform. 

Organizer should enable opt-out by making option editable.
In all emails sent by organizer should be provided link to unsubscribe. It is possible by using marker [UNSUBSCRIBE]. It will create special link for individual account settings and enables opt-out.

Organizator may ban participant via moderation tool on backend

User account may be deleted by organizer or by the participant. 

Data Quality and Access

Competition organizer decides whether personal data is confidential or public.
It's also strongly advised to enable editing personal data to keep base up-to-date and accurate. When such editing is enabled then participant may edit those data until the competition is deleted. Participant may edit personal data after signing in. 

Hint: In admin area go to Summary of the competition and check what kind of data do you acquire.

Platform data are common within all your competitions and user may edit them from the level of any competition (if competition available and personal data editable).

Non-platform data are collected only during one competition. Those data is deleted when the competition is deleted.

 

IP address of voters

Competizer platform stores voter's IP addresses (during public voting). This information is not related with participant account. Competition organizer has also access to those data via admin.

Google Analytics stats

Competizer platform uses Google Analytics to help analyze how users use the site. The tool uses "cookies," which are text files placed on your computer, to collect standard Internet log information and visitor behavior information in an anonymous form. The information generated by the cookie about participants use of the website (including IP address) is transmitted to Google. This information is then used to optimize platform, however this data could be also used for marketing purposes of WEBEST s.c Danuta Stawarz, Magdalena Czekała.

Competizer will never use the statistical analytics tool to track or to collect any Personally Identifiable Information (PII) of competition's visitors. Google will not associate your IP address with any other data held by Google. Neither competizer nor Google will link, or seek to link, an IP address with the identity of a computer user. We will not associate any data gathered from this site with any Personally Identifiable Information from any source, unless you explicitly submit that information via a fill-in form on our website.

Other stats

If you as Competition Organizer add any statistics tracker, make sure you conform to their agreements. 
Particulary any site that uses Google Analytics should have privacy policy that specifically outlines the use of Google Analytics. 

 

How to use this info?

First set up User Data Capture. When you are ready go to Summary of the competition and look for the table User data capture. Make sure that's all you need: to contact with winners, subscriptions to newsletters, public and private data. Then you may decide when are you going to close the competition. Maybe you can also decide how long are you going to keep the competition as archive (after closure).

With all this knowledge you can prepare Privacy policy statement combined with info provided above.
